SUMMARY: This position provides assistance to the Marketing staff by performing various tasks based on the current needs of the department, participating in and supporting Marketing department with tracking, organizing, proofing and producing marketing and company-wide collateral material.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  Including but not limited to:

      *Implement production of company-wide print and new owner material, such as forms, letterhead, owner briefcase and collateral items.  Assist in requests from the Sales Administrative staff and Operations Coordinator with print collateral to generate tours and enhance existing ownerships. 

      *Assist the Director of Creative Services, Marketing Coordinator and Art Director in collaborations with property General Managers and Front Desk Managers to create printed materials such as in-room, on-property signage and check-in materials.

      *Assist in maintaining contact with revenue-generating lines of business, such as spas and restaurants, as well as internal clients, to execute marketing and media plans.

      *Provide marketing development of logo gear for internal clients, departments and Grand Merchandise.

      *Order, track and stock marketing materials such as swag, print inventory, company-wide logo gear, uniforms and logo merchandise for internal clients and departments.

      *Order print inventory utilizing the "Storefront" online ordering program.

      *Stock the Marketing storage areas. 

      *Fulfill swag store order requests. 

      *Assist BGV Gives Program Manager with sponsorships in community events; manage banner inventory, authorize and fulfill requests for use and ensure banners are returned to Marketing after each event.

      *Assist in the coordination of photo and video shoots to include running errands, scheduling locations and organizing talent for property and social media needs. Maintain record of photo files for marketing purposes.

      *Participate in and support Marketing Department events such as Fall Fests, Spring Owner Parties, Owner Happy Hour events, Ed Party and Company holiday party.  This job may require working occasional weekends.

      *Encourage and recognize involvement of local vendors (shops and restaurants) in the Merchant Program; ensure contracts are up-to-date and the owner-based and preferred merchant lists are accurate for website publishing and admin Front Desk use.

      *Participate in local TV appearances with TV8 Summit.

      *Track Employee Referral program and submit payment paperwork. 

      *Uphold Hospitality Standards, Company Core Standards and Department Core Standards and observe Company policies and procedures.

      *Be the "End of the Line" and resolve every situation inherited, not passing it along, whenever possible.

      *Follow up on any situation that is not fully resolved at the time of the initial request always giving consideration to what the guest or owner deems appropriate.

      *Respond promptly to all email and voicemail correspondence. 

      *Maintain a positive working relationship with guests, owners, co-workers and vendors to satisfy their Marketing related requests, always being helpful and courteous. 

      *Adhere to Company appearance standards at all times.

      *Attend and participate in training sessions and department staff meetings. 

MARGINAL DUTIES:  Functions that are not considered essential to the job: 

      *Perform other duties as assigned.

      *Follow Company guidelines for environmental sustainability practices (recycling, composting and conserving resources) and participating in the Company's sustainability initiatives.

EDUCATION/EXPERIENCE:  Bachelor's degree (B.A.) from four-year college or university, one to two years related experience and/or training or equivalent combination of education and experience.

COMPUTER EXPERIENCE:  Intermediate understanding of Microsoft Office programs (Outlook, Word, Excel, PowerPoint) with a minimum of two years of experience in these programs.  Ability to complete mail merges, develop spreadsheets and write basic formulas in Excel.  Ability to operate basic office equipment such as a copier, fax, scanner, phone and calculator.  Must be comfortable with search engines and navigating the internet. Ability to type by touch, operate a personal computer and accurately record time worked in the correct department using the Company time keeping system

LANGUAGE ABILITY:  Ability to speak, read and interpret in English any simple instructions, short correspondence, memos, safety rules, operating and maintenance instructions, procedures manuals and general business periodicals.  Ability to write routine correspondence and reports.  Ability to effectively present information and respond to questions from owners, guests, vendors and other employees of the organization.

MATHEMATICAL SKILLS:  Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.  Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's.  Ability to compute rate, discounts, interest, percentages and commissions. 

REASONING ABILITY:  Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
