SUMMARY:  The Office Assistant collects and distributes company mail and assists with various accounting duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  Including but not limited to:

  • Distribute and collect interoffice mail between the Breck Inn, Connect Breck, Gold Point, Grand Colorado on Peak 8, Grand Lodge on Peak 7, Grand Timber Lodge and the Sales Center.
  • Properly post all outgoing mail, charge to sending department and take to post office.
  • Maintain the mail postage meter, ordering supplies and refilling funds when needed.
  • Coordinate delivery and shipment of packages and reconcile UPS statements.
  • Distribute checks according to the instructions on the invoice or check request, and ensure that appropriate remittance information is mailed with the check to facilitate accurate application of the payment to our account.
  • Review PO queue in Commerce Connections.
  • Maintain current and accurate filing to facilitate research.
  • Keep shipping technology current.
  • Negotiate and manage shipping rates.
  • Maintain inventory of mailing and shipping supplies.
  • Run postage department reports and clear monthly.
  • Make deliveries to title company, the Town of Breckenridge and the county.
  • Obtain authorized signatures on transfers.
  • Pick up and deliver construction draws and various legal documents.
  • Maintain storage units and Sales Center dock, delivering supplies, maintaining inventory of the storage units and maintaining organization at the Sales Center dock.
  • Uphold Hospitality Standards, Company Culture and Department Core Standards and observe Company policies and procedures.
  • Be the "End of the Line" and resolve every situation inherited, not passing it along, whenever possible.
  • Follow up on any situation that is not fully resolved at the time of the initial request always giving consideration to what the guest or owner deems appropriate.
  • Strive to close the loop (alleviate or eliminate issues) on any situations that cannot be fully resolved.
  • Respond promptly to all email and voicemail correspondence.
  • Maintain a positive working relationship with all contacts, always being helpful and courteous.
  • Adhere to company appearance standards at all times.
  • Attend and participate in company-wide training sessions and department staff meetings.

MARGINAL DUTIES:  Functions that are not considered essential to the job: 

  • Assist in various accounting projects as needed.
  • Perform other duties as assigned.
  • Follow Company guidelines for environmental sustainability practices (recycling, composting and conserving resources) and participate in the Company's sustainability initiatives.

EDUCATION / EXPERIENCE: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.  

COMPUTER EXPERIENCE:  Ability to type by sight, operate a personal computer and accurately record time worked, in the correct department, using the Company time keeping system.  Has a basic working knowledge of Microsoft office, including Outlook, Word and Excel.

CERTIFICATIONS and/or LICENSES: Must possess a valid US driver license and an acceptable driving record. 

LANGUAGE ABILITY:  Ability to speak, read, write and interpret in English.  Ability to speak effectively and present information to guests and owners, or employees of the organization.

MATHEMATICAL SKILLS:  Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. 

REASONING ABILITY:  Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
